Create Fund Key

Overview

The process to manually create a fund key for a contract is available through the Accounting Funding Tab

 

Prerequisites

A user must be authorized to create a fund key.

 

Create Fund Key

To manually create a fund key for a contract:

  • Search for and select a contract from the Select Contract drop-down menu.

  • Navigate to the Accounting Funding Tab.

  • Click on the Create Fund Key Button.

  • A blank fund key will appear in the detail window.

  • Enter the information in the required fields indicated by an asterisk.

    • Click on the pencil icon () to open the Edit Fund Key Window.

    • A new pop-up window is displayed.

      • Select each part of the fund key (i.e. Fund Code, Area Code, Sequence Code, etc.) using the drop-down menus.

      • Click on the Set Fund Key Button.

  • Note that the Fund Key and Related Federal Program Fund Key fields will populate with the new fund key.

  • Edit other fields as necessary.

    • Set fund key status to either active or inactive.

    • Enter funding group, if necessary.

    • Add, edit, and delete payment participants as necessary.

    • Add pertinent comments.

  • Click on the Save Button.

 

Notes

  • An add can be canceled at any time by clicking on the Cancel Add Button and then selecting Yes from the pop-up window.

  • The Notes field in the Accounting Funding Tab automatically logs edits made to a fund key. Manual notes appear in the field using the same format, including user name and time stamp.

  • The sum of Payment Participant % for added participants cannot exceed 100%.

  • A new fund key will be active by default.
