Apply Item/Fund Key

Overview

The process to apply the pay items and fund keys associated with an authorization to a contract quantity book is available through the Accounting Authorization Tab. Authorized users can also apply pay items and fund keys associated with authorizations to a contract quantity book using the Construction Tree Structure in the Construction Window.

 

Prerequisites

A user must be authorized to edit authorization information in the Accounting Authorization Tab.

 

Apply Item/Fund Key

To apply pay items and fund keys associated with an authorization to a contract quantity book:

  • Search for and select a contract from the Select Contract drop-down menu.

  • Navigate to the Accounting Authorization Tab.

  • Right click on the desired authorization in the Authorization table.

  • Select "Apply Item/Fund Key" in the context-sensitive menu.

  • A confirmation window will appear.

    • Click on the Yes Button.

  • Note that a notification window will appear, indicating that the authorization's pay item(s) and fund key(s) have been applied to the contract quantity book.

    • Click on the OK button.

  • Note that entries for all items and fund keys associated with the authorization will be added to the contract quantity book.

 

Notes

Users are prevented from saving changes to a system item to which changes have already been made. This prevents concurrency errors.
