Edit Appropriation Information
Overview
The process to edit appropriation information is available through the Appropriation Tab.
Prerequisites
A user must be authorized to edit appropriations.
Edit Appropriation Information
To edit an appropriation:

Search for and select a contract from the Select Contract drop-down menu.

Navigate to the Appropriation Tab.

Click on the appropriation to be edited in the Appropriation list. This will highlight the appropriation in the list and populate the detail window with information about that appropriation.
- Edit desired field(s).
Enter an appropriation key in the Fund Group/Split/Priority field.
Select options for Appropriation Number, Appropriation Status, and Posting from the drop-down menus.
Enter a percentage in the Priority Percentage field. If the appropriation is not split, the percentage must be 100%.

Add pertinent comments.

Click on the Save Button.

The Comments field in the Appropriation Tab automatically logs any edits made to an appropriation. Manual comments appear in the field using the same format, including user name and time stamp.

The appropriation key must be 5 digits in the following format: X0000. The first letter associates the appropriation with a funding group, the first two numbers indicate if the appropriation is split, and the last two numbers indicate the appropriation's priority.

Appropriation keys must be unique for appropriations that do not have a "Closed" status. For example, if an active appropriation already uses the key A0101, A0101 cannot be assigned to another active, reserve, or inactive appropriation.

Only one appropriation per funding group and split may be active at a time.

Payments cannot be made against an inactive appropriation.

Obligations can only be added to appropriations with a Posting Allowed value set to "Yes."

Users are prevented from saving changes to a system item to which changes have already been made. This prevents concurrency errors.
